Caard helps you write follow-up emails fast — but it never sends them for you. You always review the draft and send it from your own email client, so every message goes out from your real address.

How sending works

When you finish a draft, one of two things happens, based on your preference in Settings → General → Email sending:
  • Copy to clipboard (default) — the subject and body are copied; paste them into any email client.
  • Open in mail app — your default mail app opens with the draft pre-filled.
Either way, you press send yourself.

Compose an email

  1. Open a lead and select Email lead, or go to Leads → Email to compose freely.
  2. Pick a template, or start blank.
  3. Write the subject and body — or let AI draft it.
  4. Copy or open in your mail app, then send.
Personalisation placeholders like {{first_name}}, {{sender_name}}, and {{event_name}} are replaced with real values when the draft is generated.

AI drafting

Select Generate to have AI write the draft. It uses:
  • The lead’s details (name, company, role, event)
  • Your workspace’s global AI guidance — standing instructions about positioning and voice
  • The template’s own context, tone, and language settings
Regenerate as often as you like, and edit before sending.

Templates

Manage templates at Leads → Email → Settings:
  • My templates — personal, only you see them.
  • Workspace templates — shared with the team; edited by admins.
Each template has a name, subject, body, a kind (Event, Lead, or Either), and a mode (AI-generated or Manual).

Email history

Leads → Email lists your past outreach with its status — Copied, Sent, Opened, Clicked, or an error state. Use it to see who you’ve contacted and who’s engaging.
Open and click tracking depends on your email configuration. The history reflects what Caard can observe; messages you send manually outside the flow aren’t tracked.
